Utilizing Multiple Printer Trays

By default, Agvance prints reports to the default printer in Windows. However, Agvance can print certain documents such as Invoices, Payment Receipts, Delivery Tickets, Payroll Checks, A/P checks and Blend Tickets to specific printers other than the default printer. Agvance can also print to specific printer trays, allowing stocking individual trays with checks, printed forms or multi-colored pre-collated paper for Invoices.

To send specific print jobs to a particular printer specify the printer location in Agvance’s printer setup preferences. Any printer available in Windows (which can be viewed using the Windows Control Panel) is available for selection.

However, printing to a specific tray requires additional setup in Windows. To print to a particular tray, add a new printer instance specifically for that tray via the Windows Control Panel. For example, if using a printer with three trays, three separate printer instances should be installed. Naming each instance with a descriptive name, to indicate the printer and tray for the instance, is recommended. Once an instance is created for each tray, set the default tray for each instance. Also disable any trays other than the default one.

For example, to setup a printer instance for tray 1 use the following steps:

  1. In Windows Control Panel, go to Devices and Printers.
  2. Add a new printer instance for each printer tray. Use the same printer driver normally used to install the printer in question.
  3. Give each instance a descriptive name using the name of the printer and the tray the instance is pointing to.
  4. Right-click on each instance and go to Properties.
  5. In the printer properties dialogs, set tray 1 (or the tray to use) as the default tray. Note: Consult the printer’s documentation for instructions on setting the default tray and disabling other trays for each instance.
  6. Disable all other trays. This is necessary to prevent print jobs from accidentally going to the wrong tray.
